Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and ensuring smooth office operations. The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Duties

Greet visitors and clients warmly, providing them with assistance as needed.
Manage multi-line phone systems, directing calls and taking messages when necessary.
Perform data entry and maintain accurate filing systems for easy retrieval of information.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Provide administrative support including proofreading documents, typing correspondence, and managing office supplies.
Utilize QuickBooks for basic bookkeeping tasks as required.
Support customer service initiatives by addressing inquiries and resolving issues promptly.
Maintain a clean and organized front desk area to create a welcoming environment.
Collaborate with team members to enhance office management processes.

Experience

Previous experience in an office environment or administrative role is preferred.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is essential.
Familiarity with multi-line phone systems and excellent phone etiquette are required.
Bilingual candidates are highly desirable to assist a diverse clientele.
Experience in clerical tasks such as filing, data entry, and calendar management is beneficial.
Knowledge of bookkeeping practices or experience as a dental or medical receptionist is a plus.
Strong organizational skills, time management abilities, and attention to detail are critical for success in this role.
