Job Description
Food Procurement Coordinator
Position
Reporting to the CEO and COO, the Procurement Coordinator is responsible for increasing Farm Share’s procurement of food products including but not limited to produce, juices, dairy, dry goods, and proteins.
The Procurement Coordinator’s main objective is to generate, foster and maintain relationships with a multitude of food donors such as farmers, grocery stores, brokers, importers, exporters, shipping ports and other distributors of food products located throughout Florida and the United States.
The Procurement Coordinator performs the following functions:
- Develops and implements procurement best practices.
- Soliciting donations of fresh produce, juices, dry goods, proteins and dairy intended to enhance the nutritional value of the USDA food distribution program at Farm Share.
- Researching and identifying prospective donors to build a robust donor network.
- Maintaining strong donor relations.
- Updating warehouse donations/information to facilitate transportation arrangements.
- Working with Facility Managers and Logistics Coordinator to coordinate transportation of donations to various Farm Share sites.
- Maintaining a database of all Farm Share contributors, including historical donations statistics.
- Managing the donation acknowledgement system.
- Submitting updated donations reports to the CEO and COO in a punctual manner.
Examples of Duties:
- Work with the CEO and COO to develop monthly goals and objectives, develop and maintain solicitation campaigns.
- Contacting contributors and soliciting donations of fresh produce, juices, and other consumable items.
- Visiting and corresponding with contributors and potential donors to enhance & grow their relationship with Farm Share.
- Assist and train other staff to support and promote solicitation efforts as directed.
- Oversee the quality of donations received.
- Maintenance of non-commodities agency database, paperwork and compliance within established guidelines.
- Timely submission of required reports to CEO and COO.
- Providing donations receipts and acknowledgement letters to contributors in due time.
Skill Set
- Five (5) + years working in the food procurement field.
- Not For Profit and/or food banking experience preferred.
- Book of existing food donors and relationships already established preferred.
- Strong background in relationship building.
- Possesses strong computer skills including advanced knowledge of MS Outlook, Word, Excel. Basic knowledge of MS Access.
- Able to communicate effectively and clearly, both orally and in writing.
- Able to lead and demonstrate techniques associated with developing collaborative and effective partnerships.
- Able to be flexible and firm in support of areas of responsibility.
- Able to function flexibly and effectively under tight timelines.
- Able to successfully complete projects in a detailed-oriented manner while working under tight timelines.
- Possesses strong planning, problem-solving, and organizational skills.
- Able to foster, and work within, a dedicated team environment.
- Demonstrated knowledge and experience working with a Food Management System and inventory software.
- Strong organizational and time management skills with the ability to prioritize tasks to ensure established deadlines are met.
- Salary will be based on experience, education and book of existing donors/clients
