John Pennekamp Coral Reef State Park is looking for a self-motivated park service professional to fill an Administrative Assistant I position, providing a high level of administration to Park Manager in managing John Pennekamp Coral Reef State Park and Dagny Johnson Key Largo Hammock Botanical State Park. The applicant must possess good administrative skills and be able to work independently.

Renowned for being the country’s first undersea park, John Pennekamp Coral Reef State Park encompasses an impressive 70 nautical square miles. While many visitors view the park’s colorful coral reefs and teeming marine life on a glass-bottom boat tour, one can get an even closer look by scuba diving or snorkeling.

Pay:
$3,083.33 plus $105.73 Competitive Area Differential monthly/$37,000 annually
Your Specific Responsibilities:
Compliance with the processing requirements of Chapter 215.422, F.S. is mandatory. Persistent failure to comply with this section by any agency of the state shall constitute good cause for discharge of employees duly found responsible, or predominantly responsible, for failure to comply.
This position is responsible for providing a high level of administration to Park Manager in managing John Pennekamp Coral Reef State Park and Dagny Johnson Key Largo Hammock Botanical State Park.
Assists park manager in planning, coordinating, and implementing all administrative activities for such required accounting procedures as: annual ticket audits, purchasing audits, budget monitoring, the overseeing of fiscal data and records, development and promulgation of policies and procedures to implement Department guidelines. Daily, weekly and monthly reports. Oversees Purchasing Card (“P” Card) process ensuring accuracy and timely submission. Acts as purchasing agent for “P” Cards and My Florida Market Place. Assists in administrative activities related to computerized reservation system.
Coordinates work duties of lower level employees (OPS Toll Collectors, OPS Clerical). Provides assistance with routine and special correspondence relating to inquiries from the public, organizations, or other governmental agencies relating to a wide variety of subjects including park information, operating policies/procedures, administrative rules, employment opportunities, facilities, services, and various activities requiring specific knowledge of Bureau philosophies, administrative rules and operating policies, and procedures. Monitors performance evaluations ensuring timely submission.
Develops management reports and summaries of operational data on a variety of subjects for use in making decisions on management of park’s activities and services. This includes close liaison with Park Manager and Assistant Park Manager.
Handles special assignments, coordinates travel arrangements and makes hotel reservations.
Performs related work as required.
Required Knowledge, Skills, and Abilities:
KNOWLEDGE OF:
- administrative principles and practices

- accurately and completely fill out forms and/or reports
- act as authorized purchasing agent for My Florida Market Place and purchasing (P-card) transactions
SKILL IN:
- operating general office equipment
- use of database and word processing software
- planning, coordinating and implementing meetings, training programs and special events
SKILL IN AND ABILITY TO:
- utilize a computer and software programs such as Microsoft Office Suite
- efficiently and accurately perform cash register transactions including cash handling and making correct change
- type letters, memoranda and other standard business forms in correct format
- prepare and maintain financial records
- maintain a budget and submit associated reports in establish timeframes
- organize files and other records
- act as office receptionist and handle telephone calls in a courteous and effective manner
ABILITY TO:
- understand and apply applicable rules, regulations, policies/procedures relating to administrative functions
- prepare and maintain financial records
- communicate effectively verbally and in writing
