Overview
We are seeking a proactive and detail-oriented Plans and Permitting Assistant to join our dynamic team. Duties

Assist with preparing, reviewing, and submitting permit applications and related documentation for various projects
Coordinate with city agencies, contractors, and internal teams to gather necessary permits and approvals
Maintain detailed records of permits, approvals, and correspondence using digital filing systems
Manage calendar schedules for permit deadlines, inspections, and meetings to ensure timely submissions
Support the review of plans and drawings for completeness and accuracy before submission
Provide excellent customer support by answering inquiries related to permits or project status via multi-line phone systems or email
Handle clerical tasks such as data entry, proofreading documents, filing paperwork, and maintaining office supplies

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience with QuickBooks or similar bookkeeping software is a plus for tracking permit fees or project budgets
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Bilingual abilities are preferred to assist diverse stakeholders and clients
Office management experience including front desk duties, multi-line phone handling, and calendar management
Demonstrated clerical experience involving data entry, filing systems, proofreading documents, and maintaining accurate records
Exceptional phone etiquette and customer service skills to support internal teams and external partners
Familiarity with office tools such as typing quickly and accurately while managing multiple tasks simultaneously
Knowledge of office management procedures along with strong time management skills to meet deadlines consistently
