Coastal Source is seeking a highly organized, tech-savvy, and proactive Executive and R&D Program Coordinator. This position plays a pivotal role in supporting the CEO and the broader leadership team by managing documentation, coordinating R&D initiatives, organizing events, and ensuring seamless execution of strategic projects. This role requires a highly organized, proactive, and detail-oriented professional who thrives in a dynamic environment, leverages technology, and can balance multiple responsibilities with discretion and professionalism.

The salary offered will take into consideration the selected candidate’s level of skills, knowledge, and relevant experience. Overtime is also available with manager approval.

Key Qualifications

Bachelor’s degree or equivalent work experience in project management, marketing, business administration, or a related field.
Minimum of 4+ years of professional experience, preferably in a research or technical environment, with at least 2 years in a role supporting ownership/leadership.
Excellent written and verbal communication skills.
Proficient in technology, with a willingness to embrace and optimize new tools, including AI.
Strong attention to detail and organizational skills.
Ability to collaborate effectively with team members, customers, vendors, and other stakeholders.
Proficiency in Microsoft Office Suite.
Basic project management skills, with the ability to manage multiple tasks simultaneously.
Strong analytical and problem-solving abilities, with the adaptability to navigate changing requirements.

What You’ll Do

Documentation & Project Coordination

Collaborate with team members to manage technical content and create presentations highlighting the company’s history, products and services.
Assist in drafting, proofreading, finalizing, and distributing project documentation, including reports and presentations.
Analyze project data to ensure alignment with goals, making necessary adjustments to maintain project objectives.
Support the project team by gathering and organizing critical data efficiently.
Manage project assets and communication platforms to ensure effective documentation and coordination.
Participate in internal meetings, tracks tasks, and identify necessary follow-up actions.
In-house coordination for visiting dealers to our R&D facility, including assistance with accommodations, reservations, and follow-up after departure.

Executive Support

Provide high-level administrative support to the CEO and project team including scheduling meetings, maintaining project calendars, and addressing other administrative needs.
Manage schedules, travel, lodging, dining and activities.
Assist with additional tasks and administrative duties as assigned.
