We are seeking a highly organized Administrative Assistant for our plumbing team. In this vital role, you will support the supervisor with day-to-day record keeping and management of files, both physical and virtual. The Administrative Assistant will receive information, process it and ensure it is maintained for easy retrieval. The Administrative Assistant will also be an excellent communicator and work well with others. Your strong organizational and communication skills will ensure that this division runs smoothly.

Duties

Screening calls, taking messages, and transferring inquiries efficiently
Perform data entry and maintain accurate filing systems both digitally and physically
Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for document creation, editing, and collaboration
Assist with calendar management, scheduling appointments, meetings, and coordinating events seamlessly
Provide clerical support including proofreading documents, managing correspondence, and organizing office supplies
Maintain office organization through filing systems, inventory management, and routine cleaning of shared spaces

Qualifications

Experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office (Word, Excel) and Google Workspace applications for document processing and communication
Familiarity with QuickBooks or other bookkeeping software is highly desirable
Excellent computer literacy with the ability to learn new software quickly
Strong typing skills along with attention to detail for proofreading and data entry tasks
Exceptional organizational skills with the ability to prioritize multiple responsibilities effectively
Bilingual abilities are a plus to assist diverse clients and team members
Personal assistant experience or experience managing calendars enhances your fit for this role
Applicant must be able to obtain a Military Security Clearance
A valid Florida Drivers License and clean driving record
