Job Description
The Administrative Officer is responsible for keeping the office running smoothly and providing administrative support to the shop.
The Administrative Officer will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Administrative Officer is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation.
Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting work staff, vendors and customers.
Responsibilities include but are not limited to:
- Greeting and directing visitors, answering phone inquiries and handling complaints in a courteous, professional manner
- Schedule pickup and delivery of jobs
- Manage job timelines and deadlines
- Create and send: estimates, invoices, statements, and purchase orders
- Handle payables and receivables
- Make bank deposits
- Keep track of and record expenses
- Support Management in timekeeping
- Manage office supply inventory, ordering, storage, and distribution
- Process work requests and handles incoming correspondence and packages
- Receive, distribute, and maintain records and files.
- Other duties as assigned
Qualifications Required for the Position
- High degree of organization and typing skill required
- Written and oral communication skill required
- Must be proficient with emailing, scanning, use of an online calendar and Quickbooks
