POSITION OVERVIEW:
The Community Association Manager (CAM) is a full time position that is responsible for and performs functions to manage Indigo Reef common property and Marina and to provide operational assistance to the Board of Directors and the Homeowners Association. The CAM ensures the entire 67 unit community is maintained and operated in accordance with Company and Board objectives. The CAM facilitates solutions to problems between property(s) and internal support staff and makes recommendations to achieve agreed upon services and goals. The CAM reports to the Board and answers to the Board.
ESSENTIAL FUNCTIONS:
- Establishes and maintains a working knowledge and understanding of the community’s governing documents and rules.
- Maintains a safe and secure environment throughout the building(s) and property for owners and guests.
- Responds to requests for services and information from owners and guests.
- Monitors the property and makes routine site inspections to identify deficiencies and provide recommendations and action plans to improve the property.
- Maintains knowledge and understanding of contracts between the Association, Vendors, and the Company. Ensures all contractual obligations are being met. Monitors vendor contracts regularly, submits renewal/cancellation notices, and manages contract renewals professionally.
- Oversees all construction and special projects and ensures maintenance/improvement and other related projects are completed on time and within budget. Maintains open communication and provides timely action updates to the Board.
- Provides financial support with a wide range of functions including (but not limited to) reviewing financial statements, submitting, and approving invoices, assisting with the creation of budgets, monitoring expenses, and negotiating prices with vendors.
- Updates Association communications and ensures current information is displayed on the Association boards and/or website. Prepares association newsletter and/or other communication with owners and residents as required.
- Prepares, maintains, and submits a wide range of reports, contract lists, presentations, documents, and manuals as required.
- Attends all HOA and ACC Boart Meetings and maintains all minutes and records and agendas of meetings.
- Prepares and posts all HOA and ACC Meeting Agendas in compliance with state laws and and rules of the HOA.
- Post minutes, agenda and other community documents to the website/community online site.
- Attends, facilitates, and organizes various meetings between internal staff, Board, owners, and residents.
- Assists Board in developing Standard Operating Procedures for management of community and in complying with governing documents and state laws.
- Monitors unit and boat insurance documents provided by owners.
- Monitors persons entering property and vessels tying to dock and marina; checks proper credentials, licensing and insurance.
- Maintains disaster preparedness by identifying potential problems, developing response plans, and managing crises.
- Responsible for ongoing management, supervision, leadership, coaching, and counseling of on-site staff members including maintenance, trash techs or others.
- Schedules and assigns work responsibilities to employees to meet shift and work requirements.
- Orients and trains employees to perform activities and tasks as required by the property.
- Maintains professional and technical knowledge by attending educational and professional workshops and obtaining additional certifications as needed as wells as attending educational updates annually regarding legislative changes.
- Establishes a good working relationship and communication with all rental managers and reports issues or problems with rental guests to the rental managers regarding, parking, docking or other rule infractions.
- Maintains and operates an orderly community office, maintains organized files for the property and responds to all correspondence and requests for documents.
- Contributes to team effort by accomplishing related tasks and all other duties as assigned.
JOB QUALIFICATIONS:
- High School Diploma or equivalency preferred.
- Three years of experience in property management, business, hospitality, or other related field; or equivalent combination of education and experience is also preferred but not absolutely required.
- Prior supervisory experience is a plus.
- Drivers License is required.
- Strong organizational and computer skills are required including MS Office, Word and Exel proficiency as well as Gmail and Google Drive and software.
- Strong writing and verbal skills are necessary.
- Florida CAM License is preferred but not required. However, the candidate must obtain the certification while training for the position after effective date of employment.
- Must have legal residency and appropriate documentation to work legally within the United States.
- Must speak, read and write English fluently.

- Knowledge and ability to apply state Statutes and Community's documents to operation and maintenance of the property.

- Strong verbal, presentation, and written communication skills.
- Ability to read, analyze and interpret technical procedures, leases, regulations, and sensitive and/or confidential information.
- Ability to work in a team environment as well as independently. Must be self-driven with the ability to identify, plan, and prioritize projects and assignments.
- Ability and temperament to enforce rules of the property/community with any violators and call on appropriate authority and law enforcement as needed to effectively enforce written rules of the community.
Conditions of Work:
This position works under indoor and outdoor conditions and may be exposed to elements including but not limited to, chemicals, odor, weather, and environmental conditions. The associate must be able to work in an upright standing position for long periods of time, and must be able to sit, walk, crawl, climb, reach with hands and arms, and lift 50 lbs. The employee must be able to navigate quickly and easily the property/building as required to meet the job functions and must be able to detect auditory and/or visual emergency alarms.
The employee must be able to work extended and flexible hours and weekends as needed. Saturday and Sunday will likely be considered regular workdays. Days off will likely be assigned for weekdays.
