Job Summary
We are seeking a dynamic and highly organized Parish Administrator to serve as the vital hub of our church community. This role offers an exciting opportunity to manage daily office operations, coordinate communications, and support church programs with enthusiasm and professionalism. This is an exciting and busy season for our 193-year-old parish as we restore the church building and the rest of the campus in advance of our 2032 bicentennial. Duties
- Manage all administrative functions including correspondence, filing, data entry, and record keeping to ensure accurate and accessible church records
- Oversee front desk operations, maintaining excellent phone etiquette, greeting visitors warmly and handling inquiries with professionalism and courtesy
- Utilize computer skills to prepare newsletters, bulletins, reports, and maintain digital records using Microsoft Office Suite and Google Workspace tools
- Coordinate calendar management for church events, meetings, and appointments to optimize scheduling efficiency
- Work with the bookkeeper to handle bookkeeping tasks using QuickBooks or similar accounting software for donations, payments, and financial tracking
- Support office management activities such as supply inventory, filing systems, proofreading documents, and maintaining office equipment
- Provide customer support to parishioners and visitors by addressing questions or concerns with kindness and clarity
- Assist with special projects including event planning, volunteer coordination, and community outreach initiatives
- Use church management software to maintain membership and giving databases
- Digital management, including administration of online giving, website updates, and volunteer scheduling
- Track capital campaign pledges, facilitate campaign gifts, and coordinate campus access details with architects, contractors, and other providers
Experience
- Proven office management experience in a clerical or administrative role preferably within a church or nonprofit environment
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar, Drive)
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to multitask efficiently in a busy setting
- Demonstrated customer service expertise with strong phone etiquette and interpersonal skills
- Bilingual abilities are a plus to effectively serve diverse community members
- Familiarity with data entry, filing systems, proofreading documents, and calendar management tools
