Project Administrator / Budgeting & Billing Specialist

Job Description/About Us
Check Electric is a growing, reputable electrical contractor serving commercial and residential projects throughout the Florida Keys. Our Key West office supports active construction and service projects that require strong administrative, budgeting, and billing support. We are seeking a hard-working, dedicated Project Administrator / Billing Specialist who can become an immediate asset to our team.
Position Overview
This position will work full-time in our Key West office alongside our existing Project Administrator to learn our systems, processes, and expectations. The ideal candidate is organized, detail-oriented, and comfortable working with project budgets, billing, and documentation in a fast-paced construction environment.
This role is critical to supporting ownership through bi-weekly project budget reviews, accurate billing, and clear reporting.
Responsibilities
- Assist with budgeting and cost tracking for all ongoing projects
- Prepare and maintain project budgets for two-week ownership review meetings
- Support scheduling/billing for small projects, including progress billing
- Prepare and submit AIA billing applications when required
- Track job costs, change orders, and billing status
- Maintain organized project files and documentation
- Manage project correspondence using Outlook
- Review, edit, and assemble documents using Adobe
- Create and maintain spreadsheets and reports using Excel
- Prepare professional documents using Word
- Coordinate closely with Project Managers, ownership, and accounting
- Ensure accuracy, consistency, and timeliness in all project records
- Follow company processes while helping improve organization and efficiency
Qualifications
- Prior experience in construction project administration or billing
- Strong understanding of budgeting, job cost tracking, and billing
- Experience with AIA billing required
- High proficiency in:
- Microsoft Outlook
- Microsoft Excel
- Microsoft Word
- Adobe (PDF creation, editing, and organization)
- Strong attention to detail and accuracy
- Ability to manage multiple projects and deadlines
- Professional communication skills
- Reliable, dedicated, and able to work independently once trained
- Ability to pass a background check
