Lead Front Desk Coordinator – Dermatology
The Lead Front Desk Coordinator serves as the primary leader of the front office team and is responsible for ensuring an exceptional patient experience from the first phone call through checkout. This role combines patient relations, scheduling coordination, administrative leadership, and operational oversight to support the smooth daily function of a busy dermatology practice offering medical, cosmetic, and surgical services.

Front Office Leadership
· Lead and support front desk team members in daily operations
· Assist with training, onboarding, and workflow implementation
· Maintain professionalism, accountability, and positive office culture
· Manage front desk scheduling coverage and workflow delegation
· Troubleshoot patient concerns and front office issues in real time
Patient Experience
· Provide exceptional customer service in person and by phone
· Greet and check patients in/out efficiently and professionally
· Ensure patients feel welcomed, informed, and cared for throughout their visit
· Handle difficult conversations with empathy and professionalism
· Maintain confidentiality and HIPAA compliance at all times
Scheduling & Coordination
· Manage provider schedules for medical and cosmetic appointments
· Coordinate procedure scheduling and appointment optimization
· Verify appointment details, insurance information, and required documentation
· Assist with schedule adjustments, cancellations, and waitlists
· Help improve patient flow and minimize scheduling gaps
Administrative Duties
· Verify insurance eligibility and collect patient payments
· Maintain accurate patient demographics and records in the EMR
· Assist with prior authorizations, referrals, and intake paperwork as needed
· Monitor incoming calls, voicemails, portal messages, and front desk communication
· Support implementation of office systems and standard operating procedures
Cosmetic & Practice Support
· Educate patients on cosmetic consultation processes and office policies
· Support retail product sales and patient education when appropriate
· Assist with maintaining a polished and professional office presentation
· Help support marketing initiatives, patient reviews, and retention efforts
Qualifications
· Minimum 2 years experience in a medical office preferred
· Dermatology, aesthetics, plastic surgery, or concierge medicine experience preferred
· Leadership or supervisory experience preferred
· Strong communication and interpersonal skills
· Excellent organizational and multitasking ability
· Comfortable working with EMA/ModMed and ECW EMR systems preferred
· Professional appearance and demeanor
· Bilingual English/Spanish preferred

· Monday–Thursday schedule with Fridays dedicated to administrative responsibilities
