Are you looking for the opportunity to join an amazing team? Our company is searching for an Office Administrator for our north Monroe County Florida location. The Office Administrator will be responsible for organizing and coordinating administrative duties, office related operations, and procedures. Respond to or facilitate responses to requests and inquiries from current Members and prospective new Members of the marina. The office Administrator will work with other marina staff as a resource and in the spirit or collaboration in order to fulfill these duties and will maintain an extremely high level of customer service. This position reports to the Marina Manager and/or Regional Manager.
ESSENTIAL FUNCTIONS:
· Taking phone calls from current Members, prospective customers, keeping track of the rentals and the rental wait list.
· Serve as a point person to help maintain accuracy and alignment of policies, procedures, and processes on Member records and tasks related to Member rentals, marina parking, marina vendors, banking, auditor, web/mail service provider, and other vendors.
· Must possess strong computer skills for email, Word, Excel, and launch software.
· Clear understanding of the Point-of-Sale system and its functions.
· Manage technology needs on behalf of the marina including email and email account, scanning, could storage documentation and management, surveillance systems, marina phone, and voicemail.
· Document management task: archive and process invoices, and other documents such as fuel consumption documents, employee timesheets, employee records, among other tracking/documentation aligned to internal policy and procedures.
· Help track administrative budgets to ensure accurate and timely reporting.
· Manage general office supplies, related equipment needs, billing, mailing, errands, shopping, and office maintenance needs.
· Assist with meetings, communication to ownership, and Members such as email, and mailed postings and correspondence.
· Ensure the restrooms are cleaned daily.
· Ensure that the trash is emptied prior to opening and closing.
· Roles and responsibilities may change and evolve over time.
