Wesley House Family Services is a nationally accredited not-for-profit organization dedicated to protecting and nurturing children and strengthening families with services spanning Monroe County, Florida. Social services provided by WHFS include: Full case management, Intensive preservation services, Enhanced-in-home services, Intensive family reunification services, Prevention & intervention services, Foster care & adoption services, Health families Monroe and Inez martin child development center.
The Accounting Specialist will be doing-
- Administers routine accounting operation tasks to include: Preparing monthly recurring and general journal entries as needed, reconciling Asset and Liability accounts monthly with Controller and processing payroll on bi-weekly basis.
- Create invoices in Financial Edge (FE) and assign and verify appropriate general ledger account numbers according to the current operating budget allocation
- Prepares all grant invoices and ensures that payments are received timely, to include: FCM, Family Services Prevention Program, HSAB, Healthy Families Ounce of Prevention.
- Coordinate and provide data as needed for any Grant monitoring and audit work.
- Develops and maintains positive communications and relationships with all departments.
- Serves as backup for Raiser’s Edge data entry donor software.
- Prepares summary reports for both internal and external audiences.
- Administers routine accounting operation tasks and oversees FSFN & Child Expenditures monthly.
- Ensures all the invoices are submitted monthly for Grants including FCM, Family Services, Ounce of Prevention along with required back-up documentation and additional reporting.
- Oversee and coordinate preparation of reimbursement invoices such as Master Trust, SAMH and other.
- Oversee ProCare tuition payment system for Inez Martin CDC.
- Assist with any reporting for monthly financial meetings as needed, compares budget vs actual revenue/expenses.
- Coordinates and maintains inventory of gift cards for our locations (Truman, Key Largo’s office) for various programs and grants.
- Complete timesheet in Paycom by 5pm of the last day in the pay period.
- Assist in the preparation of the annual budget for all programs, and preparation of annual audit materials.
- Coordinate with Finance Department staff to meet the department’s monthly calendar of due dates and ensures compliance with all agency guidelines including but not limited to the Finance Policy and Procedures Manual and the Personnel Manual
- Attend and participate in training and professional development as required by Wesley House contracts and Wesley House professional development plans related to long-range plans of the agency
- Cross-train with Finance Department staff on other functions within the Finance Department and to cross-train other Finance Department staff on accounts payable, accounts receivable, ProCare and Raiser’s Edge functions
- Accurately enter general ledger account numbers and posting dates
- Maintain all accounts payable files as needed, scanning for electronic files.
- Responsible for reviewing and preparing payment of travel reimbursement in accordance with state of Florida regulations
- Train other staff members on proper preparation of travel reimbursement, purchase orders, flex fund requests.
- Reconcile AP/AR General Ledger within five business days of closing the month.
- Enter all ProCare payments into the system, enter all deposits into Raiser’s Edge and Financial Edge
- Process payroll bi-weekly and prepare associated reports.
The successful Accounting Specialist candidate will have-
- Bachelor’s degree required in accounting or business.
- 2-5 years of experience with heavy emphasis on bookkeeping and general office skills
- Solid knowledge of generally accepted accounting principles and bookkeeping skills
- Ability to communicate effectively with vendors, suppliers, providers and other personnel verbally and in writing.
