JOB
Under the direction of the Manager, Enrollment Management, the Coordinator performs a variety ofactivities to ensure the efficient and effective operation of the Department and helps to resolve difficulties encountered in the admissions and records process. The Enrollment Management Coordinator also interacts with faculty, students, staff, and the public providing information, general assistance, and problem resolution. Related administrative duties are also performed. Limited supervision is provided, therefore, personnel in this classification must have specific knowledge of procedures and regulations relative to student admissions and records.
EXAMPLE OF DUTIES
1. Identifies, places account holds, and communicates with “No Show” applicants, Inactive students, and active students missing high school and/or college transcripts.2. Evaluates incoming student transcripts from Florida colleges, processes records, and runs reports as requested. Notifies students of the results of a transcript evaluation. Processes outgoing student transcripts and record requests.3. Contributes to the development and maintenance of admission policies and procedures to ensure the College is compliant with Florida Statutes, Florida Department of Education, accreditation agency, and any other regulatory agency.4. Maintains and prepares acceptance letters to be signed by the President to students.5. Assists in maintaining the college electronic filing systems, procedures, and updates templates.6. Maintains the records room, oversees the hard-copy purge process, and required Records Destruction forms. Ensures that changes to the Florida State Records Retention Guidelines are communicated to staff in a timely manner.7. Processes applications that have been marked complete and identifies and cleans up any data entry errors that could impact state reporting and student’s enrollment status.8. Processes voids for non-payments and reinstatements at the direction of the Business Office representatives.9. Enters student form requests, checks student files for completeness, and initiates letters requesting any missing documents. Applies necessary admissions holds. Manages the departmental methods of communication content and ensures that student forms/requests are processed. While adhering to the Family Educational Rights and Privacy Act (FERPA).10. Explains Florida residency requirements to students. Assists students by reviewing supporting documentation and ensuring completion of their residency forms. Responsible for making residency determinations that are compliant with F.S.1009.21.11. Answers questions concerning visas for admissions requirements and makes admissions determinations.12. Implements enrollment services activities by providing complex problem resolution on issues related to admission, registration, and student records.13. Assists Manager of Enrollment Management in efforts, activities, and responsibilities with regards to accreditation and reaffirmation.14. Supports the Manager of Enrollment Management with a variety of office management functions requiring knowledge of the organization and initiatives of the College.15. Helps the Manager of Enrollment Management in representing the Enrollment Service Department and acts as a liaison to departments, sharing information and updates regarding enrollment services via presentations and trainings.16. Coordinates with other college departments to streamline processes and ensure compliance with College’s academic programs, support services, and admissions/enrollment policies and procedures.17. Makes determinations regarding reassignments of residency codes, duplicate records, and otherproblems. Determines changes and corrections in the student files, ensuring that changes comply with College policies and guidelines. Oversees visas for admissions determinations regarding visa statuses.18. Assists in performing student registration for non-credit courses including the following: review, input, and/or process a variety of student records including applications, refunds, drop/add/withdrawal/audit, and otherrelated forms or records required in registration.19. Implements and processes waivers and exemptions to ensure compliance regarding new waivers and exemptions from the state.20. Maintains all admissions forms are up-to-date and ensures ADA compliance.21. Resolves issues related to admission, registration, and student records by researching and determining the course of action; makes independent determinations, decisions, and recommendations. Refers issues to appropriate College management, procedures, and state statutes when necessary.22. Utilizes technology to ensure the College’s communication to students and potential students is sent and received in a timely, consistent, effective, and user- friendly manner.23. Provides a high level of customer service in person, and via email and telephone. Maintains coverage for the Enrollment counter, as needed.24. Annually monitors and updates internal procedures for software that applies to the department.25. Serves on College committees as requested.26. Assists in the coordination of commencement ceremonies.27. Assist in College recruitment and retention efforts, as appropriate.28. Required to attend Graduation/Commencement ceremonies.29.
